Overview
Sharing is a functionality that allows Team Members to share every type of Web Catalogs’ organizational entity – Smart Catalogs, Assets Sets, and Collection Sets with Partners. However, there are some differences, as explained below.
Sharing Smart Catalogs and Assets Sets
Smart Catalogs and Assets Sets can be shared with one or multiple Partners or created for your own use. You can access their sharing options in the following ways:
- From the “Share” button in the contextual menu of the particular Smart Catalog or Assets Set.
- From the “Sharing” button on the right, above the assets in the view.
Choosing either of the two options will open a new window for you to select the Partners to share the entity with.

If the Partner you want to share with isn’t listed, you can use the “Manage partners in team portal” link to invite a new Partner. You can change who you share the entity with or terminate a Partner’s access from there.
NOTE: If you delete a Partner, the Smart Catalog or Assets Set shared with them will remain for your use. At any point, you can share it with any of your Partners or leave it unshared.
Sharing Collection Sets
A Collection Set can be shared with only one Partner, and all Collections in it are automatically shared with them.

Also, unlike Smart Catalogs and Assets Sets, every Collection Set has to be shared when you add it. A dialog will open containing a “Share With Partner” field. When you click on it, you’ll see a dropdown list of Partners to choose from.

NOTE: To stop sharing a Collection Set, you need to delete the Partner it’s shared with through the Team Portal.
NOTE: If you delete a Partner, the Collection Set shared with them won’t be deleted. You can share it with another Partner or leave it unshared.
